January 2007 Meeting Minutes

This was an important meeting to discuss launching the new site. Here was we discussed:

Attendees:

Preliminaries: The Council opened with the Pastoral Council prayer. The reflection was led by Tim Harmon. Barb will lead the reflection next month.
Agenda Items:
1) Approval of minutes from October 2nd meeting – all
Minutes were approved as written!
2) Comment Regarding Minutes Posted on Website – Tim Harmon
Tim had someone ask about why all of the minutes are not yet posted. We are glad that they are being read!
3) Pastoral Council Thank You and Well Wishes to Barbara Torlone, our departing Scribe – all
We will look at the Time and Talent sheets for a replacement.
4) Idea for Future Meeting Agendas: Invite Staff Members to Give Updates and Assistance Suggestions – Tim Harmon
· This is the true purpose of Council – to give/receive feedback from the ministries and parishioners.
· The staff member will give an overview of the general activities of the ministry and any needs or challenges. We might suggest things that need to be addressed – or better ways to do certain things.
· Kathy wants to come with new head of Finance (Al has resigned).
· Fr. Mark will discuss it at the staff meeting and invite people to come.
5) Pastoral Council Retreat Advance Planning– all
The retreat is facilitated by different people every year – the format is driven by the facilitator. It will be at Louise’s house this year. Since Louise is not here, we will discuss how we can help her next month.
6) Fr. Mark’s Comments
· 1/3 of the Dean’s terms end this December – Archdiocese consults with the parishes in the Deanery regarding the Dean candidates. There is a form that needs to be filled out.
· It is Fr. Mark’s turn to be evaluated by the Archbishop – he will use staff, pastoral council, and parishioner comments. It is a way to give feedback to the Priest. We may get letters asking us to provide input.
7) Miscellaneous
· We will come ½ hour early to the next meeting and bring food for a Christmas gathering. We will meet in the Undercroft instead at someone’s home.
· We may do a basket if there is a need.
8) Adjournment and Closing Prayer – we adjourned at 7:45!
Next Meeting: Monday, December 4, 2006 at 6:30 p.m. in Undercroft D. Everyone is to bring food for the Christmas Gathering!

We again worked on the new Drupal site during the meeting. First, we worked on the Communications Page.

First, Happy Anniversary to Kathy who had an "excused" absence to celebrate with her husband.
We had a very productive meeting working through several issues on the Drupal site.
Brett has corrected the problems with the website "Theme" which controls the look and feel. The new site looks very good. He also changed the file upload limit to 10 Mb for the Committee and 5 Mb for others. This was done using Administer->Settings->Upload.
Themes are created using Style Sheets that need to be uploaded to the web site. Brett is working on the current style sheet.
Here's what we discussed:
Steve worked on the menu structure and it's now similar to the current web site menu. Doug created several pages. We added links to portions of the original site that have not yet been moved to drupal.
We missed Greg and Brett's presence at the meeting since we need to check the current status of the drupal web site and determine what work needs to be done. We discussed the plan to move to the drupal web site and determined several questions to be resolved:
1) How can we upload files greater than 1 Mb so that the Bulletin can be uploaded?

Here's what we discussed:
Most of the meeting involved discussing the new drupal web site. We showed Kathy and Dan how the new site works. Brett worked on an example web form to show how the forms can work. The forms can send the entered data via an email and the results are managed directly on the drupal web site and the total results can be downloaded in csv format.
Brett has created a Website Handbook under the Web Committee section to show how anyone on the Committee can create sections on the new web site.

We welcomed Doug Kelley to the committee. We look forward to working with him. Here's what we discussed:
There is a problem with the Calendar. The Home page no longer displays the current day's calendar items. Since we are working on moving to the drupal web site, this is a low priority to fix.
There is also a problem with the Articles tool in the CMS. Brett is going to see if we can replace the article Editor with a newer version to see if that corrects the problem.
We again spent much of the meeting working with the new web site that uses the web management tool called drupal - the new page is located at http://drupal.stjohnwc.org. We looked at the info that has been copied to the new site and discussed the different features that we are using so far. We added some new modules. We discovered that when you add a module, you need to grant access to the various roles on the drupal web site using the Administer link. We switched the directions link to point to a Google map. Eventually we should use the drupal map module.
